Checking in guests at your event

You are able to check in your guests using their QR code from the E-Ticket which you can scan, or if E-Tickets are not distributed, you can check them in manually. Simply follow these steps.

Creating a Check-In account:

  • First you need to create an account for checking guests in:
    • You can either sign up on the microsite as a guest would, or;
    • Add yourself as a guest from Guests > Overview (you would still need to set a password on the microsite in this case)
  • Once the account has been created, go to Guests > Overview and click on Edit on your profile
  • Scroll down to General Data section and enable “Client Admin User”
  • Click Save
  • This will populate an Admin Dash tab in Your Account for checking guests in

Using E-Ticket QR code scanning for Check-In:

  • Sign In with your Check-In account on the microsite
  • Click on Your Account and then on Admin Dash tab
  • Click on the Scan button and Allow your device to use the camera for it
  • Point your camera on the QR code and the system will automatically scan it
  • Once it's scanned click Scan Next

*The screen will show in green when the guest has been checked in and will show their name, ticket name, host name, and table number

**The screen will show in red if the guest has been already checked in - this is a security measure to keep guests from sharing their tickets with anyone who is not invited to the event

**Error: Guest has been already checked in

Checking guests in manually when no E-Ticket has been distributed:

  • Sign In with your Check-In account on the microsite
  • Click on Your Account and then on Admin Dash tab
  • You will see all the guests who have a ticket assigned to them in alphabetical order by Last Name
  • Underneath the guests name you will see their ticket name and the host name
  • The default filter is always “Not Attended” so that the list gets shorter with each guest you have already checked in - you will see the number of guests not checked in yet at the top left corner
  • You can change the filter to All Guests or Checked In guests to see guest numbers
  • You are also able to filter by ticket name (for example if you are checking in only VIP reception tickets at this time)
  • You can use the Search field to search for specific guest
  • Simply click on the Check In button on the right to the guest name to check them in
  • On the pop up click Check In to get back to the guest list
  • You can use the Bulk Action check in by selecting guests who arrive as a group and checking them all in at once
