Allocating free charity places for mass pax individual giving event
If you need to allocate free charity places for a mass participation event (e.g. London Marathon), follow these instructions and recommendations below.
This is for when a charity has a limited number of free charity places for a mass pax event and need to take applications. They will then review these applications and decide whom to give their charity places to. They will then confirm with them who is getting a charity place and ask them to set up a fundraising page to raise the minimum amount required for the event.
- Set up a survey in Emma for the “Register your interest form” - if you require people to sign up to the site, you can get their basic info at this point and they will appear as “Guests” in the back end of Emma
- In the back end of Emma, charity then creates a ticket for the free charity place (0 cost)
- They will then need to edit the following comms:
- “Event Ticket Confirmation – Individual Giving” in Ticketing – this will be the email they receive to confirm they have a charity place with a link to set up their fundraising page
- All individual giving comms need to be customised
- Charity can then start taking applications – people will receive an email like this when they do

- Review applications by exporting a CSV file of the survey data, which will contain all the applicants and their information/answers
- Charity can then decide whom to give their places to
- Charity can then go to Guests and bulk select those that they are giving their charity places to and assign them the relevant ticket
- Participants will then receive the customised “Event Ticket Confirmation” (please note this will only go out to guests if “Disable Ticket Communications” has not been enabled when assigning the tickets) email to confirm their place and encourage them to set up their fundraising page via a link
