You should have bid sheets at your event to take down the details of the item winner. You will need the following information to collect payment through Emma for the live items:
- Full name of Guest
- Email address
- Phone number
- Winning bid amount
- Item name/number
To add the bid simply:
- Go to Activity
- Click on Add activity
- Type/choose the guest in Guest field
- If the guest doesn’t exist on the system yet, simply click on Add new guest, complete their First Name, Last Name, Email and Mobile Number > click Add
- Click on Add bid
- Choose the correct item from the ‘Item’ dropdown field
- Add Bid Amount
- Click Add > click Add activity
To send payment links for the Live Auction item winners simply:
- Go to Payments > Auction
- Select the Live Auction items
- Use the bulk action tool that appears on the right and click Make Winner & Send Payment Link which will trigger the “Auction Item Winner - Payment Link” communication template
You can amend the Communication templates for Auction Item Winners beforehand if you wish to include instructions on how to collect their items, or add a personal touch.
